Cisco Sales Organization in KSA seeks an Administrative Assistant to provide support to the Managing Director. The Administrative Assistant will be extremely proactive with a professional, courteous and approachable demeanor in all interactions.  You should possess superior interpersonal skills and will engage at all levels of staff, customers, vendors, etc. 


Role & Responsibilities

We are looking for a highly motivated, highly organized,administrative professional! The main responsibilities of this position will be to undertake all administrative requirements of this role, understanding the responsibilities and motivations of the organization's goals and objectives in order to complete tasks on their behalf. This individual is expected to use discretion in handling details of a highly confidential and sensitive nature. Work requires initiative and independent judgment. Individual will prepares sensitive information for use in discussions and meetings within the organization and with outside individuals. The person hired into this role must be a team player who is proactive, cooperative, collaborative, and flexible. Individual should look to identify process improvement opportunities, love to learn new skills and has a positive mindset. Other expected qualities include: integrity, poise, high energy and a strong sense of urgency, acting as an extension of the leadership team. Individual expected to seek proactive and creative win/win alternatives for leader and key stakeholders, constantly assessing changing priorities and complex schedules.


Who You Are

The scope of the vacancy of Administrative Assistant is to ensure the daily support to the MD.

First reliable and representative contact for internal / external contacts 

Acting as Connecting point in the team

Ensuring diary management and coordination of internal and external correspondence

Responsible to arrange and book travels, accommodations, meetings, events 

Handling of ad hoc project work 

Preparation of presentations and report material 

Manage confidential information relating to budgets, contracts, etc 

Independent in the daily work as well as a close collaboration with the Director, team or in cooperation with other internal organizations 

This position requires strong attention to detail and the ability to work in a fast-paced environment and execute multiple tasks. The ideal candidate will be highly organized and willing to adapt to changing needs.

The candidate will use experience and good judgment to take initiative in facilitating Cisco programs, policies and procedures. 

The candidate will deal professionally with sensitive and confidential matters and materials. 

Manages day-to-day administrative processes associated with front office and team coordination with little to no supervisory input. 

The candidate is expected to recommend process improvements and innovations for the supported executive and his global team.


Minimum Qualifications

2-3 years of experience supporting at the Executive level working in administrative environment or combination of education and experience.

Ability to function in a very high paced environment.

Experience in planning meetings and coordinating travel. 

Ability to format presentations 

Ability to multi-task. 

Sound knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.)

Excellent communication, organization and results driven skills.
